Directives for Students

The directives given below are applicable to all the students of the full-time programs at Xavier Institute of Management, Bhubaneswar. All students are required to maintain standards of behavior expected of students of a prestigious Institution such as ours. You are expected to behave courteously and fairly with everyone both inside and outside the campus.

Code of Conduct

  1. Students must reach the class on time. Most professors will not allow latecomers. If you are late to class, and the door is locked, do not knock, or make noise outside the door. Leave quietly and if you wish to, approach the professor later and apologize. If the door is open, seek permission to enter only ONCE. Enter if permitted, else leave without pursuing further. In case of online classes, join the class at least 5 minutes before the commencement. Do not make the faculties wait for you to start the class. Make sure you respond to the faculty as and when called. Respecting the faculties is of utmost importance.

  2. Eatables of any kind are not permitted inside the classroom.

  3. Please address fellow first years and second years on a first name basis.

  4. No student must abuse/misbehave with any fellow student/professor/staff member/ mess worker/ maintenance staff/ security guards. Cases of misbehaviour/abuse may be brought to the notice of the Student Executive Council and will be forwarded for action to the Dean (Administration).

  5. Smoking is not allowed in the Institute premises.

  6. The students must not screen movies in the common rooms/hostel wells/classrooms/auditorium. Any violation will be penalised.

  7. Proxy Attendance is a serious offence at XIMB. Students must not seek or give help to anyone in securing attendance in classes/tests/quizzes.

  8. It will be the responsibility of the class representative to inform the SEC of any such violations. Students may directly notify the SEC as well.

  9. Do take note of the fact that alumni, industry leaders, prospective recruiters, families of the faculty are always present on the Institute premises. Any activity/ behaviour which shows the institute in poor light will be penalised.

  10. Notices must not be pasted on the walls of any of the buildings or the notice boards without the approval of the SEC.

  11. No one is supposed to abuse/disrespect others on the official WhatsApp groups. Any such incident reported will be dealt with strict action.

  12. The Student Executive Council is empowered to penalise students through various means such as fines, debarment from committees, and debarment from participating in student activities at XIMB. The extent of the penalty levied by the SEC will be determined on a case-to-case basis.

Collective Responsibilities

Collective Responsibilities

General damage to the any Institute property will be the collective responsibility of all the students. If the students who caused the damage could not be identified all the students will be required to make good of such damage.

Security

Security

  1. All residents are required to carry with them their valid Identity Cards issued to them by the Institute. They must show their ID cards to security personnel at the Gate on request.

  2. Students can keep two- wheelers on the campus which should be parked only in the parking area.

  3. The entry and exit of all student vehicles are logged. Those who wish to keep and use their personal vehicle inside the campus need to fill out and submit the necessary form at the Main Gate Security Office. Photocopy of RC book and driving license are required for this purpose.

  4. Students must exercise caution while driving vehicles inside the campus. The speed limit of 25km/h must be adhered to at all places inside the campus.

  5. The jurisdiction of the Institute authorities is confined to the campus. Students creating law and order problems outside the campus will be answerable to the police. The institute will not take any responsibility of any nature in such cases.

General Directives

General Directives

  1. It is compulsory for students to attend batch-meets, conclaves, guest talks, alumni interaction and other industry engagement activities that are mandated by the Director’s Office, Dean’s Office and the SEC. Absence without sufficient proof or reason will be penalised.

  2. Students are requested to deposit all lost and found items with the security guard of their respective hostels. In case a student loses any personal belonging, he/she is required to check with the guard first. If the article is not found, students are required to report the same to their class representative immediately.

  3. Students except the class representatives and cultural representatives must not send batch mail and chain replies. Students indulging in spamming will be fined and their email accounts temporarily disabled by the Domain Administrator, Computer Centre.

  4. Students must comply by the directives always given by the Administration, without any exceptions.

  5. Students should not arrange any religious functions or meeting within the hostel or outside or within the Institute campus without the approval of the SEC.

  6. Students must not engage in any financial activity involving the batch without the approval of the SEC.

  7. For proper action/resolution of grievances, students must route all communication to the Institute authorities via the SEC.

  8. Procedure for reimbursement of medical expenses to students due to accidents: One has to be admitted at hospital for minimum 24 hrs. On discharge should submit all the documents to the Hostel Warden in original within 10 days.

  9. Students may make their complaints and grievances to the SEC at this link. The grievances will be subject to the escalation matrix detailed on the SEC website.

Dress Code

Dress Code

  1. Students are expected to be casually dressed on most days. However, please do not wear party wear to classes. When a dress code is specified, all students must adhere to it.

    • Smart Casuals

      • Kurti (Ladies) / Shirt (Gents) and Jeans. Single colour T-shirts (Polo T-shirts only) having no prints are also permitted. 

      • Shoes (Sandals/slippers of any forms are not allowed)

    • Formals

      • Formal Shirt and Trousers / Saree / Salwaar.

      • Formal Shoes

    • Business formals

      • Full suit (with tie) / Saree. Formal wear must be non-printed.

      • Formal Shoes

  2. Students of groups giving presentations must be dressed in formals or business formals as per the concerned panel.

  3. Business suits are a must for all interviews and Placement related activities.

  4. Students are not allowed to enter the classrooms/library/academic block wearing shorts, half pant, three fourths, and sleeveless shirts.

  5. Footwear in the Academic block must be one which has toe covered.

Hostel

Hostel

  1. Students are advised not to play music beyond the tolerance levels of their neighbours. If any resident of the hostel objects to the loud music, it must shut down immediately.

  2. Students must seek inform the SEC and seek permission from the Hostel Warden in writing before venturing out on trips outside Bhubaneswar in groups exceeding 8 members.

  3. The hostel authority is empowered to have hostel rooms inspected at any time to ensure the proper compliance of all the provisions of the Hostel Policy.

  4. Guests from outside the campus may visit the student in their hostel rooms with prior approval. However, guests are not allowed to stay overnight. Exceptions may be made by the Hostel Warden in case of medical exigencies.

  5. Any case of theft should be reported promptly to the Security and Hostel Warden

CR/CulRep Election & Committee Selction

CR/CulRep Elections & Committee Selection

  1. Voting shall be conducted for the position of the Class Representative & the Cultural Representative. Post it, the top candidates, based on the votes, shall go through an interview process conducted by the SEC.

  2. CRs/CulReps cannot be a part of any Core Committee. However, they are free to apply to any of the Functional and/or Interest Committees.

  3. A CR/CulRep stands eligible to apply for the position of a) Coordinator/ Treasurer of a Functional Committee or, b) Coordinator/Treasurer of the Interest Committee that he/she is a part of.

  4. Cultural Representatives are by default a part of the Interest Committee - Cultural Committee.

  5. A CR/CulRep can apply to the Residence Secretary team but cannot be the Chief Residence Secretary.

  6. A CV POR shall be awarded to the following: 

    • The Student Executive Council Members

    • Class Representatives

    • Cultural Representatives

    • Coordinator of Core Committees

    • Treasurer of Core Committees

    • Core Members of all 4 Core Committees

    • Coordinators of Functional Committees 

    • Chief Residence Secretary.

  7. If selected as a shadow in any Core Committee, the person is ineligible to apply to a Functional Committee. However, applications to Interest Committees are open to all.

  8. During the process of selection for the shadows of any functional committee, a student shall apply for not more than two committees. The student shall give the preference order for the committee that he or she has filled the form for.

  9. All shadows are eligible to apply for the position of Coordinator / Treasurer / Core Member of their respective committees.

  10. If a person gets appointed as the Coordinator of any committee, then he/she cannot be a part of any other Committee. The same does not apply to the Treasurer of Committees.

The above list of guidelines and directives is indicative and not exhaustive. In addition to the above, students must comply with directives that come from the SEC from time to time. In all matters of discipline and other student activities, the decision of Dean (Administration) will be final and binding.
